Terms & Conditions for all cruises, cruise-tour and expedition bookings made through Cruise Professionals LLP in India.

Following terms & conditions shall apply to all cruise, cruise-tour and expedition bookings made on cruise lines represented through Cruise Professionals LLP office in India. Please read these carefully as the passenger & the travel agent are bound by these terms & conditions.   Once payment is made by the passenger/s and/ or the travel agent to Cruise Professionals LLP or written authority is provided to Cruise Professionals LLP to charge passengers’ / traveller’s credit card for any cruise, cruise-tour, expedition, Pre and/or Post Package booking, it shall be construed as acceptance of terms and conditions as stated in this document:

1. Cruise Lines Terms & Conditions

All bookings are governed by Terms & Conditions or the Passage Contract which is available at the cruise lines websites. Passengers and/or their travel agents are required to familiarise themselves with these terms & conditions which are available on following cruise line websites, with reference to the cruise line which is being booked:

The terms & conditions shared on cruise line website through above link governs the rights & responsibilities of all passengers and / or cruise & cruise tour purchasers specific to the pertinent cruise line, except for booking payment & cancellation schedule. All local transactions are governed by the policies of the local service providing company i.e. Cruise Professionals LLP, under local regulatory laws and guided by popular & established industry practices. By paying the non-interest bearing deposit or full payment for any cruise, cruise tour and expedition booking, passenger/s and their travel agent/s would demonstrate their agreement to abide by the terms & conditions of the service providing companies. It is the responsibility of the travel agent to familiarize & explain the booking terms & conditions to their passenger/s in case the travel agent is making the booking on behalf of his clients, passenger or traveller.

2. Inclusions & Exclusions

Unless otherwise specified, the cost does not include shore excursions, pre & post cruise motor coach transfers (Seat-in-coach basis) from / to service providing airports on the days of embarkation & disembarkation, dining in specialty restaurants, meals on the land packages of cruise-tour / expeditions (unless specified), bottled & canned beverages, alcoholic beverages, crew appreciation charges, and expenses of personal nature such as laundry, telephone calls, usage of business center, Wi-Fi charges, photographs, medical services, casino expense, onboard shopping etc.               

3. Government Taxes & Port Fees

Government Taxes & Port Fee are subject to change without prior notice. Any increase, individual or collective, in the amounts of Government Fees & Taxes is payable even if the fare has been paid in full wherever applicable. Any reduction in any component of the cost paid, shall be provided on the booking as an Onboard Credit at the discretion of the service providing companies.

4. Fuel Supplement

Cruise Line reserves the right to charge a Fuel Supplement from all passenger, even if the fare has been paid in full. This could be communicated before the voyage, upon embarkation or during the voyage.

5. Crew Appreciation & Service Charges (Indicative Cost)

In order to reward the crew for their service, some cruise lines levy a Crew Appreciation Charge (Gratuities) from each guest (including 3rd & 4th adult guests or children sharing the stateroom) – This is automatically added to the guest’s onboard account. This amount will be based on stateroom category and indicative cost is listed below:

Cruise line levying the Crew Appreciation or Gratuities provide all guests a complete discretion to adjust (increase or reduce) this Crew Appreciation Charges or Gratuity by contacting the Passenger Services Desk while onboard prior to their disembarkation, as the Crew Appreciation amounts are non-refundable post disembarkation. A non-refundable service charge of 18% (or more) of the cost will be added to purchases of beverage packages, drinks from the bar, in-room dining, dining room & specialty dining services, private group functions and other products & services and amenities provided to guests that are not included in the Cruise Fare of some cruise lines.

6. Booking Conditions
I. Mandatory Requirements for making a Cruise, Cruise tour or Expedition booking
  1. A written email detailing the passenger’s names, itinerary, ship, sail date, cabin category occupancy and the rooming list.
  2. Scanned copy of passport of all passengers (first & last page) containing their Names, Date of Birth, Date of Issue, Date of Expiry & Complete Address. The passport should be valid for minimum 6 months from the date of completion of cruise or cruise tour.
  3. Scanned copy of PAN card & GSTIN  Registration Certificate of  the Travel Agency.
  4. Scanned copy of PAN card, Email ID & Mobile phone number of paying passenger/s for issuance of TCS which shall be collected at the time of Deposit and Final payment as per the RBI guidelines.
  5. Company / Corporate sponsorship letters / undertaking would need to be furnished for passengers when the cruise booking payment shall be made by company / corporate on behalf of passengers.

II. Age requirements for children (Strict Adherence Policy)
  1. Most cruise line may limit the number of children on each voyage therefore it is highly recommended to provide children’s age at the very first interaction with Cruise Professionals LLP office in writing.
  2. The decision to accommodate the total number of children of various age groups on different voyages would be purely based on the cruise line and shall be final. This could differ on similar itineraries and different sail dates.

III. Declaration of Purchase of Foreign Exchange under Liberalized Remittance Scheme (LRS) for Resident Indians 

 – By proceeding to pay deposit or final payment in INR or Forex for a cruise, cruise tour or an expedition booking, the passenger & the travel agent hereby

  1. Accept full responsibility for adhering to the booking conditions as prescribed herein.
  2. Accept that the passenger & the travel agent is authorizing Cruise Professionals LLP to make forex purchase from the Authorised Dealer / Bank in case of INR payment for the purpose of making payment to the cruise line through the banking wire channel.
  3. Accept & undertake that the amount of forex purchased / remitted for the specific booking does not breach the Annual Limit of US$ 250,000.00 per person under the LRS scheme.

IV.  Passenger Immigration Form, Boarding Pass & Luggage Tags
  1. A complete PIF – Passenger Information Form with emergency contact details and copy of the relevant & valid visas, is required for pre-registration of passengers details in cruise line manifest once final payment is made. Any missing or withheld information may result in denied boarding or delay in embarkation at the pier.
  2. Passengers would be required to fill in additional details themselves in the provided link of the cruise line website which would be provided by the Cruise Professionals team member handling the booking and guidance shall be provided to access and fill in the required details.
  3. Similar to any hotel check-in, a valid International Credit Card is required at the time of check-in for guaranteeing the settlement of onboard expenses, alternatively passengers could deposit prescribed amount in cash with the Purser’s Desk at the beginning of the cruise. This facility may be limited in long duration and remote cruises. Most cruise line discourage cash transaction as a general practice.
  4. It is recommended that the Credit Card which is used for any transaction pertaining to the cruise booking is valid for a period of another 12 months after the cruise completion as this would facilitate any refund, claims or payback by the cruise line, if required.
V. Wheelchair Accessibility & Differently Abled Guest

All cruise lines welcome guests who are differently abled and those who may require wheelchairs / scooters, however, since the number of accessible cabins are limited on each ship, the requirement for accessible cabins should be made clear to the Cruise Professionals reservation team who would check the requirements & availability of accessible cabin before proceeding for the booking. This is done with a view to provide maximum comfort to guest with such specific requirements, however if such details are shared with reservation team at a later date, there may be availability challenges. While wheelchair assistance is provided at most cruise terminal for boarding purposes, guest should bring their own collapsible / foldable wheelchairs / scooters for mobility with the ship. The ship crew cannot be deputed for helping in mobility of wheelchair dependent guests, hence, the accompanying guest must be able to handle such requirements.

7. Cabin Reallocation

Any request for reallocation / interchange / upgrade or downgrade of cabins for FIT or Group booking may attract a change fee, if approved. The cruise line reserves the right to deny any such request once the bookings are paid with deposit or final payment.

8. Shore Excursions

Shore excursions can be pre booked in most voyages once the booking is applied with deposit. Shore excursions can also be booked & paid for onboard the ship subject to availability. On some voyages, where the weather is unpredictable, the shore excursions could be booked only onboard. Most shore excursions have limited capacity and may attract cancellation penalty.

9. Motor Coach Transfers

Passengers can book pre and post cruise motor coach (Seat- In-Coach) transfers up-to 15 days prior the sail date. Since these are subject to availability, early bookings are recommended. Complete flight details and immediate payments are required to confirm this service. The responsibility of checking the best timing of flight connection for any/all itineraries remain with the cruise passengers and their travel agents.

10. Refund
  1. Refund processing charges of INR 4000 per cabin shall be applicable on all final paid bookings and this amount shall be deducted while processing refund to passenger / agent.
  2. The Rate of Exchange (ROE) applicable on the date of Deposit & Final Payment in case of INR transactions would be binding for all refund calculations.
  3. The Rate of Exchange (ROE) for cancelled booking refund calculations would be the BBR (Banker’s Buying rate) applicable on the date refunds are received into Cruise Professionals bank account in case of direct payment to the cruise line and Inward Forex Same condition is also applicable to payments on account of any compensation, reimbursement or settlement from cruise line including refund of cancelled shore-excursions or any services paid but not used, by credit card, currency, gift card or any cashable instrument shall also be treated.
  4. All Credit Card payments need to be made in full (Gross). In case of Credit Card payments, the refund would be credited back on the card by the cruise line after applicable penalties and any processing charges deducted by the Credit Card Company. These transactions shall be governed by the Credit Card company policies w.r.t ROE and any other applicable transaction charges.
  5. Onboard Credit or any additional benefit extended to passenger or travel agent shall be recalled if cruise or cruise tour booking/s is/are cancelled with 100% cancellation penalty, which includes passenger being a no-show.
  6. Co-passenger/s booked under a different booking ID & cabin cannot claim the usage entitlement for cabins under “No-Show”, “Denied Embarkation” or cancelled with 100% penalty cases on the same or future sailing.
  7. In case of cancellation of a cruise booking, refund shall be processed with necessary details provided on a Credit Note issued to the Travel Agent.
  8. In case of cancellation, rescheduling, re-routing of voyage by the cruise lines, Cruise Professionals LLP cannot be held responsible for any financial loss caused to the agent or passenger/s. The compensation or alternate voyage offer, if any, shall be conveyed to the travel agent and/or passengers and any amendment made to the travel plans must be within the purview of the compensation offer made by the cruise lines.
  9. It is mandatory to send a written request for cancellation to Cruise Professionals LLP in order to action the request.
11. Auto-Upgrade

When an auto-upgrade option is selected in bookings, subject to availability and at the sole discretion of the cruise line, a new cabin may be allocated in higher cabin category. Sometimes, the newly allocated cabin may not be to guest liking but the guest shall not get the option to decline this. Therefore, it is always recommended to discuss the options and advise the reservation team appropriately if the guest would like to stay in originally allocated cabin and not seek an Auto-Upgrade.

12. CBOC & Booking Confirmation

The travelling guest/s and / or their travel agent/s are required to make the payment within 24 hours once the cabin is blocked and CBOC (Cruise Booking Order Confirmation) is issued and provided to guest/s and/or to their travel agent/s. Thereafter, the team at Cruise Professionals shall provide the receipt (after verifying the relevant details) on the next working day and a cruise line confirmation to the guest/s after 4 working days. Cruise line confirmation is provided once the funds are wired and applied on the booking. Guest/s and/or their travel agent/s are requested not to start the cruise line confirmation any earlier.

13. Payment & Cancellation Terms

Cruise Professionals reservations team shall provide the payment & cancellation penalties schedule valid for specific cruise line / voyage / expedition at the time of providing the quotation. These Payment & Cancellation terms shall over-ride any Payment & Cancellation Terms as published on cruise lines website as these are governed by the local requirements of the service providing companies.

IMPORTANT NOTES

1. Cruise Booking Order Confirmation (CBOC) details must be verified before making payments.

2. The choice of payment mode must be made clear to CPLLP representative before CBOC is issued.

3. Payment must be made as per the CBOC provided which contains all relevant details.

4. CC Payment is affected through cruise line reservation system hence no CBOC / receipt issued.

5. Bank Charges, if any, would be payable by passenger / agency.

Note – Currency for onboard expenses in different regions may differ and may not be same currency in which the cruise payment is made / quoted.

14. Overseas Travel & Medical Insurance

It is mandatory that all passengers purchase maximum amount of coverage for International Travel & Overseas Medical Insurance valid for the international travel duration from accredited Insurance Companies before their departure from India. Post pandemic, most countries & cruise lines have stringent requirements where passengers from other countries must carry a physical proof of International Travel & Overseas Medical Insurance, in the absence of which the passengers could be denied entry into the country and / or denied boarding on the cruise ship.

It is strongly recommended that you take a comprehensive international travel insurance including medical and repatriation cover of maximum value that includes cover for emergency evacuations and medical expenses related to COVID-19 and other ailments when you cruise. It is also recommended that your policy includes cover for travel cancellation and curtailment and full cover for any and all pre-existing medical conditions worldwide, or as a minimum, in the countries you are due to visit. While it may not be used but having appropriate travel insurance will ensure that you are able to relax and enjoy your holiday with the peace of mind that you’re protected should you need it.

15. Passport, Visas & other travel documents
  1. All passengers must be in possession of a passport which should be valid for the duration of 6 months after the completion of their upcoming international travel.
  2. All passengers must have requisite visas for all countries which are being visited in the cruise itinerary they have booked for, including the countries of embarkation & disembarkation.
  3. Current and up-to-date visa information is best sourced from the Embassy / Consulate of the country proposed to be visited or through an accredited travel agent.
  4. “Cruise Professionals LLP” is not responsible for provision or processing of visas unless specifically mentioned in writing in any communication.
  5. The team at Cruise Professionals shall provide Visa Requirement Letter with guest passport details, only upon request and with a turn-around-time of 3 working days for FIT bookings and 5 working days for group bookings. In case of rush, there could be a delay in this fulfilment.
  6. Visa information provided by Cruise Professionals team members for any itinerary in the course of service calls or correspondence emails or promotional material is purely indicative and must be verified by passengers & their travel agents prior to making necessary travel arrangements pertaining to the cruise booking.
  7. The responsibility of obtaining the necessary visas and other travel documents for any/all itineraries remain with the cruise passengers and their travel agents.
  8. Passengers not in possession of valid travel documents & visa/s shall not be allowed to board the ship and no compensation / refund shall be provided for their booking/s.
16. Unforeseen events & contingencies

While travel is a fulfilling & enriching experience, it comes with it sets of challenges when there are unforeseen delays due to inclement weather or technical-issues or socio-political unrest. Guests & their travel agents must understand that in such situation their best guides are available nearby, the ship’s crew or the port agents who understand and could guide them about the proposed change of plan, if required.

It is strongly recommended that guest should keep minimum of an extra day before & after the cruise in the ports of embarkation & disembarkation which should provide them sufficient time to arrive or depart keeping in mind such situations.

While the team at Cruise Professionals would try to provide all relevant information pertaining to such incidents, please do remember that cruises operate in different geographies & different time zones, which is why immediate answers cannot be provided. Cruise lines & their crew work in the best interest of the passengers’ safety & well-being at all times.
